Important Note: While this covers the standard practices for UK-based coaching and sport psychology services (including GDPR and safeguarding for minors), you must have this reviewed by a legal professional or your liability insurer to ensure it fully protects you, especially regarding your status as a “Psychologist in Training.”

These Terms and Conditions (“Terms”) govern the provision of sport psychology and performance coaching services by Ethan (“we,” “us,” or “the Coach”) to you (“the Client” or “the Athlete”).
By booking a session or purchasing a package, you agree to be bound by these Terms.
1. Nature of Services
1.1 Scope of Practice: The services provided are for educational and performance enhancement purposes. They utilize principles of sport and exercise psychology to assist with mindset, resilience, and performance strategies.
1.2 Not Clinical Advice: The Coach is a Sport and Exercise Psychologist in Training. These services are not a substitute for clinical mental health care, psychotherapy, or medical diagnosis. If the Client requires support for a clinical mental health condition (e.g., severe depression, eating disorders), we reserve the right to decline services and refer the Client to a GP or clinical specialist.
1.3 No Guarantees: While we provide evidence-based tools to support improvement, specific results (such as winning competitions, selection for teams, or professional contracts) cannot be guaranteed.
2. Working with Minors (Under 18s)
2.1 Parental Consent: For any Client under the age of 18, a parent or legal guardian must consent to the services and agree to these Terms on the Athlete’s behalf.
2.2 Safeguarding: We adhere to strict safeguarding policies. While session content is generally confidential to build trust with the young athlete, confidentiality will be breached if there is a risk of harm to the Client or others, in accordance with UK safeguarding laws.
2.3 Communication: All administrative communication (scheduling, billing) for Clients under 18 must include the parent/guardian.
3. Bookings and Payments
3.1 Pricing: Current rates are as stated on the website:

Initial Psychological Assessment: £60

6-Week Personal Performance Plan: £250
3.2 Payment Terms: Payment for single sessions or assessments is due [e.g., 48 hours] prior to the session. Payment for the 6-Week Plan must be paid in full before the commencement of the first session, unless a payment plan has been explicitly agreed upon in writing.
3.3 Methods: Payments should be made via [Bank Transfer/Stripe/Link provided on invoice].
4. Cancellation and Rescheduling
4.1 24-Hour Notice: We require a minimum of 24 hours’ notice to cancel or reschedule a session.
4.2 Late Cancellations: Cancellations made with less than 24 hours’ notice will be charged at the full session rate (or deducted from the package allowance).
4.3 No-Shows: Failure to attend a scheduled session without notice will result in a forfeit of the session fee.
4.4 Coach Cancellations: In the unlikely event that the Coach needs to cancel, the session will be rescheduled at the earliest mutual convenience, or a full refund for that session will be provided.
5. Session Conduct
5.1 Duration: Standard sessions last 50 minutes.
5.2 Online Sessions: Most sessions are conducted via [Zoom/Teams]. The Client is responsible for ensuring they have a quiet, private space and a stable internet connection.
5.3 In-Person Sessions: In-person sessions in London are subject to availability and venue suitability. Travel costs may apply if agreed in advance.
5.4 Code of Conduct: We operate a zero-tolerance policy towards abusive or inappropriate behavior. We reserve the right to terminate a session or the professional relationship immediately if this occurs.
6. Confidentiality and Data Protection
6.1 GDPR: We process your personal data in accordance with the Data Protection Act 2018 and GDPR. Your notes and details are stored securely.
6.2 Confidentiality: Information shared during sessions is confidential. However, limits to confidentiality exist if:

There is a risk of harm to yourself or others.

There is a legal requirement to disclose information.

(For Trainees) Anonymized case material is discussed with a Supervisor for professional development purposes, in line with BPS (British Psychological Society) guidelines.
7. Limitation of Liability
7.1 We are not liable for any physical injuries sustained during your sporting activities.
7.2 Our total liability under these Terms shall not exceed the total amount paid by the Client for the services.
